Overview

Intelligent Employment are recruiting for a Office Manager to provide support to all colleagues within the UK Branch, with regard to the running of the Office, and to provide support to the Sales team with regards to winning sales contracts.

Your role:

This vacancy requires a well organised, proactive person, who has a strong attention to detail and ability to multi-task. Good Excel skills are essential, and the person must have the communication and interpersonal skills to build and maintain positive relationships with internal stakeholders. Experience of working with colleagues in other countries and cultures would be beneficial.

Office Manager responsibilities;

  • Work with the Country Manager to coordinate support to the UK office
  • Directly manage the 2 Office Co-ordinators who provide admin support to the UK office and whose duties include reception, travel management & IT support activities
  • Support the UK organisation with day to day running of office activities
  • Oversee changes to office layouts, and organise desk and furniture equipment provision
  • Support booking of travel and accommodation for office employees
  • Support new colleague introductions, ordering equipment and IT registrations & clearances
  • Secure line manager approval for invoices related to the above, and process through Accounts
  • Manage general ad-hoc admin • Coordinate management meetings, take minutes and actions and distribute

Additional Sales support responsibilities;

  • Work with the Head of Sales & Sales Managers to coordinate support to sales
  • Support sales in requesting prices, preparing offers, contracts and tenders
  • Create and maintain data in our online customer relationship management system (CRM)
  • Create, configure and maintain projects in our online ERP system (SAP)
  • Check, print and arrange signatures for contracts for SMs, liaising with German HQ
  • Liaise with sales assistance in other countries to share best practice
  • Record keeping and filing of contracts and projects through our online systems
  • Attend Exhibitions and manage the allocation of PR Material
  • Manage sales team ad-hoc admin
  • Coordinate sales team meetings, take minutes and actions and distribute

We would like to hear from you if you meet the following requirements:

  • Degree in Engineering, Science or related discipline
  • Minimum 3 years’ experience in a similar position
  • Well organised, proactive person, who has a strong attention to detail and ability to multi-task
  • Good excel skills are essential
